Key points
- We use your data to respond to requests, organise activities and manage membership.
- Private information is available to authorised people according to their responsibilities.
- Membership indirectly reveals health information. Health details collected to prepare an introduction are used to adapt that session.
- You can contact us to request access to your data, correction or deletion.
1. Who is responsible for your data?
ParkinsonVRMove is a non-profit club based in 1201 Geneva, Switzerland.
Contact: contact@parkinsonvrmove.ch
Correspondence address: ParkinsonVRMove, c/o Alain Balzer, secretary, Place de la Navigation 8, 1201 Genève, Switzerland.
2. What data do we use?
Requests and activities
Forms collect contact details, language and practical information needed to respond to a request or organise an introduction or rental. Depending on the form, you may use a first name or pseudonym. Required fields are marked.
Membership and accounts
A membership application asks for your surname, first name, postal address, telephone or WhatsApp, email and selected languages. Date of birth is optional. We use these details to examine your application and manage membership.
Accounts are created manually after verification. Usernames, roles and access dates control private areas. Submitting a form does not automatically create an account.
The club’s statutes reserve membership for people with Parkinson’s. Identifying someone as a member therefore indirectly reveals health information. This also concerns accounting documents or support requests stating membership. Attending an introduction does not, by itself, establish membership.
Your introduction
The appointment, assigned volunteer and exchanges help prepare the session. Preparation and feedback answers are optional. Health details provided to prepare an introduction are used to adapt and facilitate that session. Please do not send unnecessary medical details. Health information is due for deletion three months after the session actually takes place, even if other follow-up continues.
Club management and competitions
Admission decisions, votes, terms of office and poster requests support internal management. Payment and Meta setup details may be added later; they are not requested in the membership form.
Competition pseudonyms, scores and validated results may be public. Contact details and screenshots used as evidence remain in the designated management areas.
Photos, videos and messaging
Participants are informed orally about image capture and distribution when cameras are set up and images are taken; their agreement is obtained orally. Images may be shared on the website and in WhatsApp. A VR headset generally conceals the face, but voice, clothing or context may allow recognition. Originals are retained in Photos and iCloud, including after distribution.
Other WhatsApp group participants can see your presence and information made visible by the service, including your telephone number depending on the group type. The Members group uses a 90-day period for new disappearing messages. This does not guarantee deletion of earlier messages, kept messages, exports or recipients’ copies. The Committee group history is retained, together with an exported archive.
3. Who can access the data?
Access depends on each person’s responsibilities. For members and committee members, it also depends on the access period.
- The active committee and administrators process membership applications.
- The assigned volunteer can view the private information needed for the introduction.
- Accounting documents have specific access restrictions.
A signed-in member requesting an introduction for someone else is recorded as the referring member. The participant and referring member receive acknowledgement and appointment information. Private preparation and feedback answers are not sent to the referring member.
4. How long do we keep the data?
These periods are the club’s agreed rules. Their application across all storage locations still needs to be verified and organised; no general automatic deletion is active.
| Data | Agreed retention period |
|---|---|
| Requests with no further action: closed, cancelled or still open without a reply | Six months after the last verified actual exchange |
| Health information for the introduction | Three months after the session actually takes place |
| Other private preparation and feedback answers | Three months after the session, unless follow-up is still requested |
| Current membership data | During membership, then twelve months after explicit departure |
| Login history in the club module | Ninety days provided for by the module |
| Accounting records and supporting documents | Ten years after the end of the relevant financial year (Article 958f of the Swiss Code of Obligations) |
| Emails and downloaded private PDFs | The same deadline as the source case, with no additional period; working copies removed when no longer needed |
| Full backups on all media | A maximum of thirty days, without exceeding the earliest deadline of the data included |
| Final committee decisions and minimal named voting record | Ten years after the end of the decision year, under the agreed internal rule |
| Voting drafts and comments | Twelve months after the final decision |
| Screenshots used as score evidence | Three months after the competition officially closes; validated results handled separately |
In current practice, membership emails, certain archives, photos and videos are retained without regular deletion. The table therefore does not yet guarantee deletion at the deadline on every medium. Images and the Committee WhatsApp history have no defined systematic deletion period.
Membership data within a workbook must be distinguished from accounting records that need to be retained. Deletion in one location does not necessarily remove other copies. Following restoration, retention deadlines must be reapplied before reopening. Expiry of account access establishes neither departure from the club nor deletion of data.
5. Hosting, security and external services
Infomaniak hosts the website and email. Alain Balzer accesses contact@parkinsonvrmove.ch on Mac and iPhone. Management documents are stored in kDrive; working copies and older workbooks also exist locally on the Mac. Backups are retained on the Mac and an encrypted external drive.
WhatsApp is used on iPhone and Mac. Weekly WhatsApp backup to iCloud is enabled; end-to-end encryption specifically for that backup was not enabled when checked on 20 October 2026. Photos and iCloud also store activity images. Apple and Meta services apply their own privacy rules. We do not describe all these processing operations as exclusively located in Switzerland.
HTTPS encrypts exchanges with your browser. Private areas and the relevant private downloads check access rights. These measures reduce risks without guaranteeing absolute security.
WordPress uses login cookies and Polylang remembers the language. Cloudflare Turnstile protects forms against bots and processes browser and connection information. Processing may take place in the United States and other countries. See Cloudflare’s Turnstile privacy information.
External links, including Google Maps, Google and Meta services, lead to services with their own rules. Leaving a Google review is optional.
6. How can you exercise your rights?
Email contact@parkinsonvrmove.ch to request information about your data, correction or deletion where applicable. If data must be retained, the reason should be explained.
We may need to verify your identity proportionately. Your email address alone is not proof of identity. Do not send an identity-document copy without being asked.
You may also contact us to withdraw your agreement to new uses of your image or request removal of an image distributed by the club. We will explain the available action and any limits, including copies already retained or shared by third parties.
